Job Description

Admin Executive

Key Responsibilities

  • Work closely with company Directors (Malaysia and Japan) to provide support and administration work within the time zone.
  • Provide administrative support in Employee Relations matters, HR operational matters and ppraisal process.
  • Attend, set-up, send invitations, prepare agendas and minutes of meeting for monthly Board of Director Meetings.
  • Manage on employment pass and working visa application for all newly appointed directors.
  • Provide advice to the Directors and Shareholders on board agendas to ensure directors have the right information to make decisions/approvals being requested.
  • Responding to the stakeholders, external parties queries via email, verbally or physically.
  • Prepare monthly expenses of company for Finance team.
  • Provide end-to-end administrative support including (but not limited to) preparing, documents update and uploading documents for contract renewal, business documentations, business resolutions, leave request and claims requests.
  • Ensure timely and accurate payroll, EPF, PCB and SOCSO information provided by the accountants.
  • Manage leave, insurance, allowances and other benefit administration.
  • Set up payments of all invoices via business online banking.
  • Liaise with the payroll and billing team to resolve staff claims any payment issues, client billing issues, refund, and the monthly expenses information.
  • Reviews, updates and maintain proper filing of employees personal file.

Skills & Experiences

  • Bachelor's degree in Business Administration, or a related field (or equivalent experience).
  • Knowledge on Finance, Basic Accounting and Basic Human Resources is advantage.
  • Fresh graduate encourage to apply
  • Previous experience in finance and administrative roles preferred.
  • Strong organizational and multitasking skills.
  • Attention to detail and accuracy in financial record-keeping.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality.
  • Proficiency in relevant software and tools (excel, words, powerpoint etc)
  • Knowledge of financial regulations and compliance standards is advantage
  • Has JLPT N2 and above.
